Band and Orchestra Instrument Rent-to-Own Program: General Questions

How does your Rent-to-Own program work?

Renting from us is easy! Simply sign a rental agreement, provide payment for the first month's rent, and make monthly payments that are easy on your budget. After making all the required monthly payments, the instrument becomes yours to keep. To set up your rental agreement, you may either call our Rental Department at (800) 992-4481, Option 1, or sign up and pay online.

What are the advantages of renting from Muncie Music Center?

Our program is specially designed to meet the needs of beginning band and orchestra students. We offer easy payment plans designed to fit your budget. We don't charge interest, so 100% of your rent is applied to your account balance each month.

We make it easy for you to exchange instruments if your child changes his or her mind. Within 12 months, if your child decides to change instruments, 100% of your rental payments will apply to the next instrument. And there's no obligation to purchase: if your child decides that the music program isn't for him or her, simply return the instrument to us, and you won't owe anything more.

All of our instrument rentals carry optional Musical Instrument Protection (MIP) plan coverage, which can save you money by avoiding costly out-of-pocket repairs, as well as charges related to loss or damage.

What schools do you serve?

We serve over 60 school systems in Indiana and Western Ohio, making over 90 stops weekly. Our service area extends as far north as the Wabash River and as far south as the Ohio River. Click here to find out whether we serve your school district.

Do you rent to students in a band or orchestra program not served by MMC? What about homeschoolers and adults?

Sorry, we don't rent to students outside the geographic limits of our service area, or who attend schools we don't serve.

We do have arrangements with several homeschool-based music programs in our service area. Please call our Rental Department at (800) 992-4481 if your child is homeschooled and you're interested in renting an instrument from us.

We are unable to rent to adult students studying privately unless the renter lives in Delaware County and is willing to sign up for AutoPay.

Do I need a down payment?

No. All you need is your first month's payment to begin our rental program. From there you simply continue making your monthly payments until you own the instrument.

I'm not sure if my child will stick with music. What if my child drops band or orchestra and we no longer need our instrument?

Unfortunately, not every student will stay in an instrumental music program all through school. At any time during the rental period you may return the instrument and will not be obligated to continue any further payments. The money you have paid so far is just considered rent for the time you used the instrument.

What brand will my rental instrument be?

Our instruments are manufactured by quality brand names such as Gemeinhardt, Yamaha, Selmer, Bach, Jupiter, and Pearl. They are made with the needs of beginners in mind and represent the best value around. They will stand up to years of student use, and in most cases will last through high school if properly cared for.

If you want to know what specific brand names we carry for individual instruments, or if you would like to request a certain brand name for your child, please call our Rental Department at (800) 992-4481, Option 1.

What instruments do you rent out?

It depends on what instruments are used in your child's school band or orchestra program. Click here (link to rental menu) to find out what instruments are currently in use in your child's program, or contact the school music director.

No matter what instrument your child wants to play, we will do our best to find an instrument that fits your budget. We rent out instruments at three different price levels: New, Re-Rental, and Budget Select. Click here to find out more about instruments at the Re-Rental and Budget Select price levels.

Is it better to rent a new instrument or a used one?

Like a car, most instruments will function at their best when fresh from the factory. However, our repair technicians work on every used instrument to clean, sanitize, and ensure excellent playability. If you rent a used instrument and are unsatisfied, you may exchange at any time for a new one by calling us at (800) 992-4481.

What if our instrument needs repair?

Instrument repair can get very expensive, which is why all of our rentals carry the option for Musical Instrument Protection (MIP) plan coverage. This covers all necessary repair work to keep your instrument in top playing condition at no extra cost to you.

Our service reps visit your child's school weekly and can fix many minor issues on site. In the case of more extensive repairs, please call us at least one business day before the representative makes his weekly visit to the school. This way, we can bring a loaner instrument to your child for use during the time the instrument is being repaired.

Would it be better to Rent-to-Own or purchase our instrument outright?

All of our instruments are available for purchase with a savings of 30% off the Rent-to-Own price. If you opt for the rental program and would like to pay your balance off early, we do offer the same 30% discount at any time during the rental period, but your discount comes off the remaining balance of the rental.

How do I contact the Rental Department?

You may contact us by phone at (800) 992-4481, or locally at 765-284-4481. Our business hours are Monday-Friday from 9-6 or Saturday from 9-3.

You may e-mail us at sales@munciemusic.com.

You may send payments and other written correspondence to us at:

Signing Up for a Rental Agreement

What happens after I fill out a rental application?

Most applications are approved immediately. If approved, you will need to provide the first month's rental payment at the time the application is filled out. After we receive the first rental payment, we will prepare the instrument for rental. If you sign up for your rental at one of our school display nights, your child's instrument will be delivered at the beginning of the school year.

In a few cases, we may not be able to deliver your child's instrument right away, especially if you're ordering a new instrument that we don't have in stock. We'll let you know when you can expect the instrument to be delivered to your child.

Do I have to pass a credit check to be approved for an instrument rental?

No, we don't run a credit check before approving you for a rental. However, we may require a deposit based on the information you provide on your rental application.

What is the difference between a Re-Rental and a Budget Select used instrument?

A Re-Rental instrument is one that has been lightly used by another beginning band student. Our expert repair technicians will have refurbished it to be in great condition, both cosmetically and mechanically. In many cases, the student won't even be able to tell that it's a used instrument.

A Budget Select instrument will have been used by another student for a longer period of time and will show signs of wear. As with the Re-Rental, the Budget Select instrument will have been refurbished by our repair techs to be in great playing condition, but the cosmetic condition will range from fair to good.

Please note that the mouthpieces on all wind instruments will have been sanitized for your child's protection.

What if I miss your display night at my child's school?

We can start an instrument rental at any time of the year. Simply call our Rental Department at (800) 992-4481, and we'll get the rental process started over the phone. You will need to be ready to provide a checking account number, or the number of a debit or credit card, to pay for the first month's rent and any needed accessories.

Instrument and Supply Delivery

When will my child's instrument be delivered? Will I need to come to Muncie to pick up the instrument?

If you sign up for the rental program at one of our school display nights (held at most schools in our service area once or twice a year), your child's instrument will be delivered at the beginning of the academic year. Occasionally, an instrument may be on backorder, but we'll let you know if this happens.

If your child attends a school in a service area, we can deliver the instrument directly to the school, no matter what time of year you start the rental. Of course, you're welcome to come to our store in Muncie to pick up the instrument if you prefer.

Where do I find the serial number on my instrument?

It's important to know the serial number on your child's instrument in case of loss, theft, or mix-ups that may occur in the music room at school. Your serial number will be located on your contract. When your child gets his or her instrument, please check the serial number on the instrument against the one on the contract right away.

Serial numbers on flutes, clarinets, oboes, and saxophones will usually be engraved on the back of the instrument. Some will be toward the middle of the instrument, while others will be near the bottom.

Serial numbers on brass instruments will usually be located on one of the valves, or, in the case of trombones, close to the slide.

Serial numbers on percussion kits will be located on the bells that come with the kit.

Serial numbers on string instruments will be located on a sticker inside the instrument.

If you're having trouble finding your child's serial number, simply call our Rental Department at (800) 992-4481, Option 1, and a representative can assist you.

Do I have to come to Muncie to get instrument supplies and accessories?

One advantage of our rental program is that our service representatives visit your child's school weekly. If your child needs supplies and accessories, such as reeds, swabs, valve oil, or rosin, he or she can simply fill out an order form supplied by the music director, phone us at (800) 992-4481, Option 1, or order online.

Our service rep will collect order forms and will deliver the ordered items to the band director within a week's time (common items can sometimes be delivered the same day). Special-order items will take longer.

You may also call our store to place an order. To help us serve you better, please call or e-mail (link) us at least one business day before our service rep is scheduled to visit your child's school.

Payment is due the day the service rep delivers the item to the student.

Monthly Payments

How often will I pay?

Payments are due on the same day each month. Check your rental contract information for your monthly payment due date, or call the Rental Department at (800) 992-4481.

How do I pay my monthly payment?

We offer four convenient payment options to suit your needs. You can mail your payment in with a payment coupon, call in a check or credit/debit card payment over the phone, pay online with PayPal at www.munciemusic.com, or sign up for our AutoPay program with a checking account or credit card.

How do I make a rental payment through PayPal?

Simply go to www.munciemusic.com and scroll to the bottom of the page. In the drop-down menu under Payment Type, choose "Rent-To-Own," enter your account number (found on your payment coupons), and click the button that says "PayPal: Click Here To Pay."

You don't need to have a PayPal account to pay through PayPal. PayPal accepts Visa, MasterCard, American Express, and Discover credit cards, or debit cards with the Visa or MasterCard logo.

How do I sign up for AutoPay?

Simply call the Rental Department at (800) 992-4481, Option 1, and let the store representative know that you want to sign up for AutoPay. We’ll send you a form in the mail to fill out and sign. You may either mail the form back to us, or for quicker service fax it to us at (765) 284-4482.

How do I stop AutoPay?

Please call the Rental Department at (800) 992-4481, Option 1, and let our representative know that you wish to discontinue AutoPay. Keep in mind that it can take up to five business days to discontinue this service.

I haven’t received payment coupons for my next payment. What should I do?

We normally send new payment coupons to you whenever we receive the last payment coupon from your old batch. If you haven't received new payment coupons by two weeks before your next payment due date, please call us at (800) 992-4481, Option 1, and we will send coupons to you right away.

If it's time for your next payment and you haven't received your coupons, we can take your debit card, credit card, or checking account payment over the phone.

Please note that not receiving coupons is not a valid excuse for failing to make your monthly payment. We charge a $5 late fee for payments that are over 10 days past due.

What happens if I’m late with a payment?

You have a ten (10) day grace period from the date the payment is due, in which you can make a payment with no late penalty. After that time, a $5 late charge will be added to your account. Please note that if your account is not current, the MIP coverage on your child’s instrument will not be in effect.

If you know you’re going to be more than ten days late with a payment, please call our Rental Department at (800) 992-4481, Option 1.

What if I can’t pay due to illness, injury, unemployment, etc.?

Missed payments, especially those over two months late, may result in your child’s horn being picked up by our service representative. Also, MIP coverage is not in effect on instruments with delinquent accounts, meaning that you alone are responsible for any loss or damage to the instrument.

We understand that sometimes circumstances can cause you to be unable to make a payment. We want to work with you during your time of hardship and don’t want financial circumstances to be the reason your child cannot continue band. Please call our store at (800) 992-4481, Option 1 to speak with a rental representative about your situation.

What is my account number?

You can find your account number on the copy of the rental agreement that we sent to you in the mail. We assign account numbers after sending the instrument to the student, so if you haven't received yours yet, don't worry—you'll get your contract and account number before your next payment is due.

If you have more than one instrument rental with us, you'll have one account number for all instruments, but each instrument rental will have a different number after the dash. For example:

12345-1 Clarinet Rental
12345-2 Trombone Rental

If you choose to receive payment coupons, you can find your account number on your coupons.

If you still can't find your account number, please call our Rental Department at (800) 992-4481, Option 1.

How do I pay off my rental before the rental period ends?

You may pay off your rental at any time. We offer a 30% discount off the unpaid balance at the time of the payoff. Simply call the Rental Department at (800) 992-4481 and let us know that you’d like to pay off the instrument. We can quote the payoff amount the same day and take your payment over the phone. If you're not able to pay the account off the same day we give you the quote, we will honor the quote we give you for up to two weeks.

You can extend your Musical Instrument Protection plan after you pay off the instrument for only $47.95 per year.

How do you quote my early payoff amount?

In most cases, we simply take 30% off the unpaid balance on the account then add Indiana state sales tax (currently 7%).

If you have a past due balance, we regret that we're unable to take 30% off that amount. However, we will still discount 30% of any amount that is due currently and in the future. We will add this to the past due balance owed then add Indiana state sales tax to the entire amount.

We will honor a quoted amount for up to two weeks or when the next monthly payment is due, whichever comes first.

To get a payoff quote on your account, simply call us at (800) 992-4481, and press Option 1 for the Rental Department.

When will my payment be posted to my account?

In most cases, a phone, mail-in, or walk-in payment is posted to your account the same day we receive it. PayPal payments are posted to your account the next business day.

We cannot post the payment to your account until we have a successful payment transaction. If your transaction (i.e., credit or debit card, checking account, or PayPal) is declined, we will contact you as soon as possible.

Do you charge an NSF (returned check) fee?

Yes, we charge an NSF fee of $10 per returned check. This includes insufficient funds in an account on the AutoPay program.

What day of the month is my payment due?

It depends on the date your rental agreement started. Depending on the start date listed on your rental contract, your payment will be due the 1st, 5th, 10th, 15th, 20th, or 25th of the month. All future payments will be due on that same date each month.

If you don't know your monthly payment due date, please call us at call us at (800) 992-4481, and press Option 1 for the Rental Department.

You picked up my child’s instrument at school due to nonpayment on my account. How do I get the instrument back?

You'll need to make the account current by paying all past due amounts, including late fees.

If we have picked your child's instrument up for nonpayment before, we require that you pay the rental balance in full before we will return the instrument. To avoid this, if you are in a financial situation, please contact us immediately. Communication is the key.

Exchanges, Upgrades, and Contract Cancellations

My child wants to switch instruments. How do I do that?

Please call our store at (800) 992-4481 and press Option 1 to speak with a rental representative. We are normally able to offer a 100% credit for any rent paid during the first 12 months of your rental contract, and a 50% credit for any rent paid from the 13th month onward.

We can usually give you an estimate of how much your new payment will be when you call to let us know that you’re interested in switching instruments. If you approve the trade, simply leave your child’s old instrument with his or her band director. Our store representative will bring the new instrument to your child’s school, meaning that you don’t have to come to Muncie to make the trade.

When switching instruments, how much of my prior payment will be applied to the new rental?

We are normally able to offer a 100% credit for any rent paid during the first 12 months of your rental contract, and a 50% credit for any rent paid from the 13th month onward.

My child wants to quit band. What do we need to do?

Please call the Rental Department at (800) 992-4481 to let us know that you’re returning the instrument. You may either leave the instrument with your child’s band director, or, if you prefer, return it directly to our store. Please note that we cannot process any returns until the instrument arrives at our store. You are responsible for any rental payments accrued until the date we receive the instrument.

Can you buy back an instrument I purchased through the rental program?

In most cases, we cannot buy back an instrument purchased through our rental program due to the fact that we're already able to satisfy the demand for most rental instruments through our existing stock. We will accept an instrument for trade-in credit toward a step-up instrument depending on the condition of the trade in.

Can I trade my instrument in for credit toward an intermediate or professional level instrument?

Yes. We evaluate trade-ins on a case-by-case basis depending on instrument and condition. Please call us at (800) 992-4481 and ask to speak with a band instrument sales representative regarding any possible trade-ins.

Can we keep the instrument if we move out of your service area?

If you have been renting from us for less than a year, we generally cannot continue the rental agreement. Of course, you're welcome to purchase the instrument with a 30% discount off the unpaid balance by paying the remaining balance in full.

We evaluate any rental of more than a year on a case-by-case basis. Please call the Rental Department at (800) 992-4481, Option 1, for more information.

Musical Instrument Protection (MIP) Plan, Repairs, and Lost or Stolen Instruments

How does the MIP plan work?

The Musical Instrument Protection (MIP) plan gives you peace of mind and protects you and your family from costly repairs, as well as providing coverage in the case of loss or theft.

The plan covers any repair needed to keep the instrument in playing condition. "Playing condition" does not include cosmetic repairs. Repairs deemed necessary as a result of abuse or neglect by the student are also not covered under the plan.

Most typical repairs cost between $25-$75. To give you an idea of the money you'll save by not having to pay out-of-pocket repair costs, here are the prices of some typical repairs:

Clarinet: Replace tenon cork: $10-$15 per cork
Woodwind instruments: Pad replacement: $10-$150
Brass instruments: Valve repair: minimum $15 per valve

There's no need to bring your instrument to Muncie Music Center to take advantage of the instrument repair benefit. Simply let your child's band or orchestra director know what's wrong with the instrument, and our service rep will take the instrument to our repair shop or, for minor repairs, fix the instrument on-site.

For longer-term repairs, please call the Rental Department at (800) 992-4481 to arrange for a service rep to bring your child a loaner instrument to use while his or her instrument is being repaired.

The plan also covers replacement of your child's instrument in the event of loss or damage. You will not have to pay out of pocket for the replacement, but any benefit paid out from your homeowners' or renters' insurance must be paid to Muncie Music Center, and a police report documenting the loss must be filed.

My child’s instrument broke. How do I get it fixed?

As long as your account is current, our Musical Instrument Protection (MIP) plan will cover your child’s instrument. Repairs covered at no charge under the plan will restore the instrument to playing condition. The plan does not cover repairs necessary due to neglect or abuse, or repairs that are purely cosmetic (for example, pulling out small dents in a trumpet bell).

Can I extend the Musical Instrument Protection (MIP) plan after I pay my instrument off?

Yes, you may purchase an extended MIP plan for only $47.95 per year. You'll get all the benefits of your rental MIP plan, including avoiding costly out-of-pocket repairs to keep the instrument in playing condition, and replacement coverage in case of loss or theft. Contact us to set up an extended MIP plan.

What do I need to do if my child’s instrument was stolen?

First, check with your child's band director. Sometimes mix-ups occur, and another student may have accidentally taken your child's instrument thinking it was theirs.

After speaking with the band director, file a police report, and be sure to send a copy to us. For insurance reasons, cannot provide your child with another instrument until we have this paperwork. Also note that any payment made by your homeowner's insurance for the theft must be assigned to Muncie Music Center.
